For the past 50 years, “Grupo Universal” has been the primary insurance provider in the Dominican Republic market. They offer a wide variety of products in the insurance, economic and financial service industries.

CHALLENGE

With six subsidiaries and 2K+ employees across the country, the group was facing critical operational issues in their day-to-day tasks. These issues included lack of communication between subsidiaries and employees, extensive internal processes, misinformation and out of control printing and storage costs.

At that time, they already had the Office365 licenses, however, they were using it as an intranet access point for their SharePoint Server 2007; their portal was unresponsive and outdated.

Due to their significant role in the economic sector, they need to step forward into new technologies and distinguish themselves as innovative leaders in the industry. They needed to incorporate changes that included the imperative need to modify the employee manual processes and streamline the way they create, submit and approve corporate clientele documentation.

“Grupo Universal” had the urgent need to improve their overall collaboration across the company. They needed a collaboration platform that could be easily accessed anywhere and on any device. Their current system was only accessible through a VPN connection, and only 5% of the employees could access their intranet portal.

PERFORMANCE

INVID implemented Sharestacks BRAND to their SharePoint system, allowing them to save time and money. Sharestacks BRAND is a template used in Sharepoint that personalizes an intranet portal to make it more responsive and modern. ​

In addition to SharePoint, we also implemented Yammer to maximize the use of their Office 365 licensing investment. The tools allowed Grupo Universal employees to locate information faster while staying effective with email usage. 

SharePoint is a web-based collaborative platform that integrates with Microsoft Office. This program worked as a gateway for publishing electronic forms and workflows that automate administrative requests for vacations, purchasing, and more. 

Yammer is a private platform for enterprise social networking. Originally developed as an internal communication system, the site now allows users to easily collaborate to meet business needs. 

Yammer gave an additional benefit to Grupo Universal by boosting the company culture! Not only did it change how employees communicate, but it also allowed for a platform where they share opinions and ideas with all management levels. 

Another convenient functionality that was added was the automated congratulatory Yammer post for birthdays and employment anniversaries, integrating SharePoint with Yammer. This way, employees and managers alike can celebrate each other’s birthdays and celebrations.

Dates are maintained on a SharePoint list, and the congratulations messages are posted automatically in Yammer.

This way, employees and managers alike were able to celebrate each other’s birthdays and celebrations.

SharePoint and Yammer were essential to the centralization of their internal communications and a change in their organizational culture. These facilitate decision-making, support business productivity, and improve customer service. Before SharePoint and Yammer, only the Process and Administration Departments had a presence on the intranet; now they also include IT, Human Resources, Marketing, and Finance Departments.
